Joubert Law Firm is seeking a motivated, dependable, and personable Receptionist to serve as the first point of contact for our clients, visitors, and callers. The ideal candidate is a natural people-person who communicates confidently, remains calm under pressure, and takes pride in creating a welcoming and professional experience.

Our Receptionist plays an essential role in the daily operation of the firm. This position requires excellent communication and organizational skills, careful attention to detail, and the ability to manage multiple responsibilities in a high-volume, time-sensitive environment.

Key Responsibilities

• Greet clients, visitors, vendors, and other guests warmly and professionally;
• Answer, screen, and route incoming telephone calls;
• Take accurate, detailed messages and ensure timely delivery;
• Respond appropriately to general inquiries by phone, text, and email;
• Notify team members when clients and visitors arrive;
• Maintain a clean, organized, and welcoming reception area;
• Schedule and confirm appointments as assigned;
• Receive, sort, and distribute incoming mail and deliveries;
• Assist with outgoing mail, scanning, copying, filing, and data entry;
• Enter and update information accurately in our case management software;
• Help collect basic information from potential new clients and connect them with the appropriate team member;
• Protect confidential and sensitive client information;
• Assist attorneys and support staff with administrative projects; and
• Help keep the front office running smoothly and efficiently.

Our Receptionist establishes caring relationships with our clients and collaborative partnerships with our attorneys and support team. This position is ideal for someone seeking a long-term commitment with opportunities for professional growth.

Requirements

• Our ideal candidate will have at least one year of experience as a receptionist, administrative assistant, customer service representative, or law firm team member;
• Law office experience is preferred but not required;
• Familiarity with legal terminology, procedures, and the day-to-day operation of a law office is a plus;
• Candidates must be computer literate and comfortable learning case management software;
• Excellent communication and people skills are essential;
• Candidates must have strong administrative and organizational skills;
• Candidates must be able to prioritize and handle multiple tasks effectively;
• Candidates must present a polished, professional, and welcoming demeanor; and
• Candidates must exercise discretion and protect confidential information.

Compensation for the successful candidate will depend on several factors, including relevant experience, industry experience, education, skills, and qualifications.
