Administrative Assistant (Baton Rouge)

The Administrative Assistant provides professional front-desk, visitor, office, and administrative support for the assigned HPLS location with guidance. The role works across HPLS functions and external partners to deliver safe, compliant, timely, and sustainable results during project execution and ongoing operations.

Essential Duties and Responsibilities

  • Manage visitor services, building access support, and front desk operations.
  • Support office administration activities, including workplace services, office supplies, pantry management, and facility-related operations.
  • Process invoices, expense reports, and other accounting and administrative documentation in a timely manner.
  • Manage reception, visitor registration, meeting-room coordination, building-access support, and incoming communications.
  • Coordinate office supplies, pantry services, mail, deliveries, records, and workplace requests.
  • Prepare and process invoices, expense reports, purchase documents, and routine administrative records.
  • Schedule meetings, support events, prepare materials, and assist leaders and teams with administrative needs.
  • Maintain organized electronic and physical files while protecting confidential information.
  • Coordinate with facilities, security, IT, finance, vendors, and employees to resolve service issues.

Minimum Qualifications

  • Associate or bachelor's degree in Business Administration, Office Administration, or a related field, or equivalent relevant experience.
  • At least 1 years of relevant professional experience; level and scope will be calibrated to demonstrated capability.
  • Demonstrated ability to manage priorities, analyze information, document work, and collaborate across functions.
  • Working proficiency with Microsoft 365 and job-relevant enterprise or technical systems.
  • Ability to communicate clearly in English and work effectively in a multicultural environment.

Preferred Qualifications

  • Administrative, reception, office-coordination, or customer-service experience.
  • Proficiency with Microsoft 365 and common office systems.
  • Experience in a multicultural, construction, manufacturing, or rapidly growing environment.

Working Conditions and Physical Requirements

The standard work schedule is 8:00 a.m. to 5:00 p.m.; however, work hours may be changed or adjusted based on operational, project, commissioning, emergency, or business needs. This position requires on-site work and is not eligible for remote work. Work is primarily performed at the Baton Rouge location and may include office, construction, commissioning, and/or operating-plant environments depending on assignment. Must be able to comply with site PPE, security, and safety requirements; travel between HPLS locations and vendor, partner, or project sites may be required.
