Support executive leadership and make an impact at the heart of state government! As an Administrative Support professional, you'll provide high-level support to the Undersecretary, Senior Advisor, and other executive leaders within the department. Five years of experience in administrative services. EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.
Job Duties:
- Composes and processes correspondence and other documents for the Undersecretary's review and signature, coordinating with appropriate officials to ensure timely responses.
- Manages the Undersecretary's calendar, schedules meetings, and coordinates conference rooms, materials, and other meeting requirements.
- Provides administrative support to the Senior Advisor to the Undersecretary and other executive staff by coordinating meetings, preparing and routing documents, and maintaining necessary information.
- Responds to constituent inquiries regarding departmental policies and programs and coordinates with appropriate offices to ensure timely and accurate responses.
- Monitors staff time and attendance records, communicates deadlines and required corrections, and enters and updates employee information in LaGov ECC and the Emergency Employee Directory.
- Coordinates travel arrangements for Undersecretary's staff, including transportation, lodging, and airfare, and processes travel expense reimbursements.
- Manages the office P-Card and related purchases, reconciles monthly transactions and receipts, and serves as a safety officer or backup safety officer by supporting emergency procedures and communicating safety information to staff.
