ABOUT THIS JOB
LOSFA's College Access, Success, and Communications (CASC) Division provides customer service, college access and financial aid advising, outreach, events, communications, marketing, and promotional support for LOSFA's scholarship and grant programs, resources, and services, while developing and maintaining partnerships with postsecondary institutions, community organizations, state agencies, and business and industry partners to support career exploration and postsecondary student success. The student worker will serve as a first point of contact for the division, greeting visitors, answering phones, providing information, and assisting with basic administrative tasks such as scheduling and data entry.
ABOUT THE ORGANIZATION
The Board of Regents (BoR) is established in the Louisiana Constitution as the state's coordinating board for higher education, working with four management boards, 32 public degree-granting institutions, and four special-purpose institutions. The BoR sets statewide policy related to higher education; advocates for higher education systems and institutions; distributes state-provided funding in accordance with legislative actions; and administers granting programs related to the advancement of the missions of postsecondary education systems and institutions. The BoR contains three programs which include the Board of Regents, the Louisiana Office of Student Financial Assistance (LOSFA), and the Louisiana Universities Marine Consortium (LUMCON).

Demonstrates proficiency with office technology, including Microsoft Office applications and administrative systems.
Has experience supporting office operations, scheduling, records management, or similar administrative functions.

Preference may be given to candidates possessing:
Previous customer service, receptionist, front desk, or general office experience.
Availability to work a consistent schedule during regular business hours.

JOB DUTIES
Front Desk & Customer Service Operations
Welcomes students, faculty, staff, and visitors by providing courteous assistance, answering questions, and directing individuals to appropriate staff members or resources.
Provides in-person customer service by greeting visitors, assisting with general inquiries, and notifying appropriate departments or personnel of arrivals.
Responds to questions regarding department operations, campus resources, procedures, and available services.
Answers and directs incoming phone calls, provides general information, and accurately records and relays messages to appropriate personnel.
Administrative Support & Office Coordination
Assists with conference room scheduling, including reservations, setup coordination, and maintaining organized meeting spaces to support effective staff use.
Enters, updates, and maintains information in databases and spreadsheets.
Maintains organized files, records, and office documentation to support efficient retrieval and department operations.
Mail, Delivery & Document Management
Coordinates daily collection, sorting, and distribution of interoffice, incoming, and outgoing mail for the Galvez Building, ensuring timely delivery between offices, floors, and designated distribution areas.
Prepares outgoing mail for USPS, courier services, and state mail operations, including proper packaging, labeling, and required documentation.
Receives and monitors front door deliveries, signs for packages when required, and ensures items are promptly and securely delivered to the appropriate staff or program area.
Maintains logs and tracking records for accountable mail, time-sensitive documents, and packages requiring additional handling or documentation.
Maintains an organized mail and supply area by ensuring envelopes, postage materials, boxes, routing labels, and other necessary supplies are adequately stocked.
Assists with coordinating front desk and mailroom coverage to ensure continuity of administrative operations.
General Administrative Support
POSITION-SPECIFIC DETAILS
Appointment Type: This position is a part-time unclassified appointment and may be filled through external recruitment or promotion of a current employee. Employee may not work more than 20 hours per week.
Worksite Location: Baton Rouge, Louisiana (Galvez Building)
Work Schedule: Monday through Friday business hours
Security Requirements: Annual safety training is required for all state employees. Access to driving records is required for employees operating state-owned vehicles or state-contracted rental vehicles. A background check is required.
Physical Demands: The position is housed in a standard office environment. Typing is essential to completing assigned duties. Minimal standing, stooping, and light lifting (up to 20 pounds) may be required. Reasonable accommodations are available for individuals unable to meet the physical requirements of the position.
Work Environment: This position is housed within the Louisiana Office of Student Financial Assistance (LOSFA) in the Galvez Building in downtown Baton Rouge. Employees work in a professional office environment consisting of private offices, cubicles, and conference rooms equipped with standard office computing equipment. Laptop computers may be provided to support off-site work as needed.
Travel Requirements: Travel is not required.
