Administrative Assistant for Leasing/Rental
Summary:
The Administrative Assistant provides essential daily support to the leasing and rental
departments, ensuring smooth and efficient office operations. Responsibilities include managing
documentation, coordinating schedules, and maintaining accurate records for vehicle leases and
rentals. The role involves frequent communication with customers, vendors, and internal teams to
facilitate timely service and resolve inquiries. This position requires strong organizational
skills, attention to detail, and the ability to multitask in a fast-paced environment. By handling
administrative tasks and supporting operational needs, the assistant plays a key role in
maintaining customer satisfaction and departmental efficiency.
Essential Duties
•Provides daily administrative support to the leasing and rental departments to ensure smooth operations.
•Opens, updates, and closes service tickets; adds tasks and invoices as needed.
•Applies third-party invoices to tickets, creates purchase orders, and sends them to vendors.
•Sends out daily reports, including Yard Checks and Open Ticket Counts, to designated recipients.
•Coordinates preventive maintenance (PM) schedules with customers and emails monthly PM reminders.
•Works directly with customers to schedule units for service and follow up on estimates.
•Prepares and maintains lease and rental documentation, including contracts and customer files.
•Assists with data entry, reporting, and tracking of fleet inventory and rental activity.
•Responds to customer inquiries and ensures timely communication between departments.
•Maintains a professional appearance and organized work environment.
Qualifications:
• Microsoft Excel experience required!
• Minimum High School Diploma or equivalent required.
• Ability to work independently, customer service skills, organizational skills, and a positive attitude is required.
• Ability to multitask in a fast-paced environment
Work Environment:
In a professional office environment, employees routinely use standard office equipment such as
computers, phones, photocopiers, and filing cabinets. The role involves prolonged periods of
sitting at a desk, with frequent use of hands and fingers for typing and handling office equipment.
Occasional standing and walking are required to communicate with different departments. Employees
may need to lift and carry office supplies or small packages weighing up to 20 pounds. Good vision
and clear hearing are essential for reading documents and effective communication. The work environment is typically
climate controlled, with occasional exposure to the busier dealership floor.
