Reporting to the Associate Dean for J.D. Admissions & Financial Aid, the Admissions Specialist will have a wide range of responsibilities to meet William & Mary Law School enrollment goals and objectives including, but not limited to:

• Coordinating the JD admission application process using designated platforms such as ACES, Unite, and TargetX. This includes:
o Process and complete all applications.
o Post decisions and scholarship in UNITE.
o Update all decision, status, and scholarship fields in Banner.
o Process, run, and mail all decision emails through designated platforms such as ACES or Unite.
• Coordinating and implementing all in-person admission events.
• Serving as the primary point of contact for in-person prospective student tours and visits, responding to phone and email inquiries, and providing administrative support for the Admissions team.
• Assist the Associate Dean in managing and tracking endowed scholarships.
• Assisting the admission team in counseling prospective and admitted students.
• Completing special projects assigned by the Associate Dean for J.D. Admissions & Financial Aid; and Acting as backup and support for other Admissions administrative roles.
• Providing administrative support for the Admissions team.

Job Description:

Required Qualifications:

  • Bachelor's Degree or equivalent combination of education and experience.
  • Working knowledge in the area of admissions or comparable.
  • Demonstrates efficient planning and project management skills.
  • Proficiency with Microsoft Office Suite.
  • Demonstrates outstanding organizational, administrative, and customer service skills.
  • Demonstrates strong communication (oral and written) and interpersonal skills for developing effective working relationships with a variety of internal and external constituents.
  • Experience working with confidential and sensitive information.
Preferred Qualifications:
  • Significant experience in Law school admissions or comparable.
  • Experience with law school admission practices as well as internal and external policies governing academic administration.
  • Experience with platforms such as ACES2, Unite, TargetX, Banner.
Conditions of Employment:

This position may require additional hours beyond the typical work week, including occasional overnight and weekend work as needed to meet the business needs of the operation.

Duties:

50%- Admissions Administrative Support:
  • Coordinates the JD admission application process using the designated platforms such as ACES, Unite, and TargetX
  • Process and complete all applications Post decisions and scholarships.
  • Update all fields in ACES and Banner.
  • Process, run, and mail all decision emails through a designated platform such as ACES or Unite.
  • Assist the admission's team in counseling prospective and admitted students.
  • Register, ensure payment for, and track all JD law fairs, conferences, and other related fees and invoices.
  • Complete special projects assigned by the Associate for J.D. Admissions & Financial Aid.
  • Assist the Associate Dean in completing all reimbursement and travel forms in Chrome River.
25%- Event and Visitor Management:
  • Coordinate and implement all in-person admission events in conjunction with the Law Events team (plan, organize, book rooms and catering, facilitate coordination, work with vendors, etc.)
  • Serve as the primary point of contact and respond to phone and email inquiries for the general department email account.
  • Collaborate with the Sr. Assistant Dean of Admissions on student visit calendar management for scheduling tours and in-person visits.
  • Greet and assist prospective and current students who visit the Office of Admissions in person in conjunction with the Student Admissions Assistants.
20%- Admissions/Financial Aid Committees:
  • Prepare applications and participate in the "1st Review" process with the Associate Dean for Admissions and Financial Aid to determine which candidates will be offered an official interview by invitation and contact candidates to schedule interviews.
  • Serve on the Admissions Committee that determines scholarship allocation to various State of Virginia, Foundation, and endowment funds.
  • Reads applications, renders decisions, and recommends scholarships to the Associate Dean for Admissions and Financial Aid.
5%- Assist the Associate Dean in updating and managing all scholarships. This

includes:
  • Managing and updating scholarship awardees and awards accurately in all the necessary platforms.
  • Managing and updating scholarship information for withdrawals, LOAs, and returning students.
  • Ensuring that all platforms such as UNITE and Banner are updated and that scholarship information is sent to key stakeholders such as Financial Aid and the Veterans Certifying Official in an accurate and timely manner.


Posting Range: $42,000 up to $52,000 commensurate with experience
