Job Duties

The Administrative Assistant in Dining Services performs a variety of administrative support functions for the department and managers. These include, but are not limited to, maintaining staff time and attendance records, creating and communicating menu updates, maintaining departmental budget tracking and Point-of-Sale functions.

Qualifications
  • High school diploma or equivalent
  • Associate's degree in business or office administration a plus
  • Minimum of 1-2 years administrative or executive assistant experience preferred
  • Strong computer and clerical skills required, including working knowledge of all Microsoft applications

Essential Duties
  • Reviews, edits, and verifies staff timecards in a timely manner for payroll processing; tracks unexcused missed punches
  • Maintains employee files and provides documentation to management team for completion of performance reviews
  • Updates staff bulletin boards on a regular basis
  • Creates and distributes weekly menu changes to the Dining Services management team and others as appropriate
  • Updates menu information in Point-of-Sale system and SJP website in a timely manner
  • Codes invoices with appropriate general ledger number and maintains departmental budget tracking spreadsheet
  • Creates and updates Dining Services management on call schedule
  • Enters work orders as needed
  • Creates and updates monthly departmental safety meeting schedule
  • Maintains resident proximity card information in Point-of-Sale system
  • Enters charges in Point-of-Sale system for departmental food and supply requisitions
  • Maintains Dining Services function calendar for Event Function Sheets
  • Orders office supplies as needed
  • Assists management with ensuring that policies and procedures are followed
  • Assists managers and staff with administrative needs and project completion as needed
Work Hours
  • May require working long hours or hours outside of the normal work week.
  • MAY BE DESIGNATED ESSENTIAL PERSONNEL IN THE EVENT OF EMERGENCY SITUATIONS, INCLUDING HURRICANES, EVACUATION, FIRE, FLOOD, ETC., AND BE REQUIRED TO REMAIN ON CAMPUS FOR THE DURATION OF THE EMERGENCY.
