Archives Specialist A, B or C (Reference Services)

The mission of the Secretary of State's office is to serve the public by meeting its legal responsibilities of collecting, securing and communicating information that enhances commerce, ensures the integrity of Louisiana's elections and preserves, presents and makes accessible government information essential to Louisiana's operations and its recorded history. The Reference Services Section of the Archives Division of the Secretary of State is seeking an Archives Specialist A, B or C to assist government entities and the general public to process all vital records and provide research and reference services.

An ideal candidate should possess the following competencies:

  • Communicating Effectively: The ability to relay information correctly and appropriately to connect people and ideas.
  • Developing Plans: The ability to prioritize tasks and competing demands to create accurate plans.
  • Displaying Expertise: The ability to exhibit specialized skills or knowledge gained from experience or training.

Minimum Qualifications:

  • Three years of experience in historical research, archival operations, records management, records preservation, or college-level teaching in a humanities field; OR
  • Six years of full-time work experience in any field; OR
  • A bachelor's degree.

Experience Substitution: Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties and Other Information:

  • Assists patrons in historical and genealogical research and in acquiring accessions/collections information from Collections Management.
  • Responsible for providing access to and copies of vital records, ship passenger manifests, military service records and other records on microfilm in the Research Library to patrons and governmental entities.
  • Trains and/or instructs patrons in the proper handling of archival records and library equipment. Monitors public usage of collections materials to ensure compliance with proper archival handling procedures.
  • Conducts historical and governmental research for other state agencies upon request.
  • Assists researchers and historical organizations in locating records in other repositories and libraries.
