The Louisiana Department of Insurance is seeking a detail-oriented Administrative Assistant 4 to support key functions within the Office of Policy, Innovation, & Research. In this role, you'll work closely with the Deputy Commissioner and OPIR team to ensure office operations, workflows, and communications are well-coordinated, accurately documented, and efficiently executed. Minimum Qualifications: Three years of experience in administrative services. Experience substitution: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information:

  • Manage the Deputy Commissioner's calendar, schedule meetings, coordinate interviews, and arrange travel and reimbursements.
  • Prepare, proofread, and process sensitive correspondence for internal and external stakeholders.
  • Serve as the first point of contact for calls, emails, and inquiries directed to OPIR, ensuring accurate routing and timely follow-up.
  • Draft, edit, and format policy-related documents, reports, memos, and other written materials.
  • Organize and maintain office records, files, and administrative documentation to support policy development and research initiatives.
  • Track deadlines for reports, legislative or regulatory actions, project milestones, and time-sensitive administrative activities.
  • Assist in coordinating office planning efforts, supporting short- and long-term goals and division-wide initiatives.
  • Sort and review incoming mail, identifying items requiring priority attention.
  • Maintain payroll and timekeeping functions for the division, ensuring accuracy and timely submission.
  • Prepare meeting materials, agendas, summaries, and support logistical setups for internal and external meetings.
  • Support special projects and assignments initiated by the Deputy Commissioner or OPIR leadership.
