Staffing Coordinator

Description:

The Staffing Coordinator is responsible for managing client relationships, coordinating job orders, supporting recruiting efforts, and ensuring smooth day-to-day communication between clients, employees, and the internal team. This role is ideal for someone who thrives in a fast-paced staffing environment, is highly organized, technology-comfortable, and confident on the phone.

  • Location: Baton Rouge, LA (On-site)
  • Schedule: Monday-Friday, 8:00 AM - 5:00 PM (1-hour lunch)
  • Employment Type: Full-Time | Internal Position
  • Salary: Depends on Experience ($35,000 to $50,000)
Key Responsibilities
Client & Job Order Management
  • Serve as a primary point of contact for assigned client accounts.
  • Receive, document, and confirm job orders from clients accurately and promptly.
  • Enter and update job orders in the Applicant Tracking System (ATS) and integrated scheduling system.
  • Monitor open orders, fill progress, and client satisfaction; follow up proactively as needed.
Recruiting & Scheduling
  • Recruit, screen, and match candidates to client job orders based on qualifications, availability, and client requirements.
  • Schedule employees for assignments and shifts using the ATS/scheduling system.
  • Clearly communicate assignment details (location, schedule, pay rate, duties, dress code, contact person, etc.) to employees.
  • Adjust and update schedules in real time as needs change.
Employee Communication & Support
  • Maintain regular communication with placed employees regarding schedules, attendance, updates, and job expectations.
  • Address routine questions and minor concerns promptly and professionally; escalate issues when appropriate.
  • Help support a positive employee experience consistent with company and client expectations.
Time Collection & Payroll Coordination
  • Collect and verify weekly time for employees placed by you or for clients assigned to you.
  • Ensure time submitted is complete, accurate, and approved prior to forwarding to payroll.
  • Communicate quickly with clients/employees to resolve any missing or incorrect time entries.
Onboarding & Compliance Support
  • Assist with new hire onboarding and documentation as needed.
  • Ensure required forms, credentials, and client-specific requirements are completed accurately and on time.
  • Follow established procedures to support compliance and quality standards.
On-Call Coverage
  • Participate in a rotating on-call schedule (remote) to support after-hours needs:
  • At least one (1) weeknight per week, and
  • At least one (1) weekend per month
  • Respond to urgent client or employee issues via phone/text during on-call windows.
  • On-call responsibilities are compensated.
Qualifications
  • Preferred: Experience working in a staffing agency office or similar recruiting/scheduling environment.
  • Required: Strong comfort with computers and technology; ability to learn and work within an ATS, scheduling, and communication tools.
  • Required: Confident, professional phone presence; must be comfortable making and receiving a high volume of calls.
  • Strong written and verbal communication skills.
  • High attention to detail; able to manage multiple priorities in a fast-paced setting.
  • Strong follow-through, ownership mindset, and customer service orientation.
  • Reliable, punctual, and able to work standard business hours plus rotating on-call.
