Role Summary

The Project Administrator will support the division manager and internal teams by managing administrative tasks, coordinating project expenses, and maintaining accurate records. This role requires strong organizational skills, attention to detail, and the ability to adapt in a dynamic business environment.

Primary Responsibilities
  • Assist division manager with special projects and administrative support
  • Maintain positive relationships with internal employees
  • Review and code incoming bills in line with company policies
  • Support accruals, invoice updates, and project status tracking
  • Utilize Excel, OneDrive, Teams, Outlook, and Word to perform tasks
  • Contribute to company goals by supporting operational efficiency
Core Administrative Tasks
  • Manage communications via Teams and email
  • Maintain virtual filing systems and trackers
  • Prepare, edit, and distribute documents and reports
  • Update data within tracking systems and job folders
Advanced Responsibilities
  • Perform critical data entry and basic data analysis
  • Approve vendor invoices and ensure billing accuracy
  • Handle sensitive information with discretion and professionalism
Key Skills
  • Strong organizational and time-management abilities
  • Proficiency in Microsoft Office Suite, Teams, and OneDrive
  • Effective problem-solving and adaptability
  • Ability to multitask and prioritize in a busy environment
Qualifications
  • Must be a resident of California
  • Minimum 7 years of experience in administrative support or a related field
  • Proven knowledge of invoicing and billing procedures
  • High school diploma required; college degree or equivalent experience preferred
  • Demonstrated ability to manage multiple tasks with precision and professionalism
