Medical Front Desk Associate

Description:

We are hiring for a front desk associate so support a busy clinical research clinic. This is a 90 day contract!

Paid holidays and sick time available during contract

Summary:
The Front Desk Associate supports the Clinical Operations Team by performing a variety of administrative and data entry tasks to assist in the conduct of clinical trials. This role involves handling patient check-ins, maintaining study documentation, managing scheduling activities, and entering clinical data accurately and efficiently.

Responsibilities

Data Entry Responsibilities:

  • Assist in the conduct of clinical trials by performing data entry tasks in accordance with study protocols, GCP, ICH Guidelines, and company SOPs under the direction of the Clinical Research Team.
  • Enter source data into sponsor and/or vendor data portals.
  • Resolve basic data queries that do not require changes to the clinical source chart.
  • Escalate missing or inconsistent data identified in subject charts to the Clinical Research Team.
  • Demonstrate an understanding of good documentation practices when transferring data to sponsor or CRO data capture systems.
  • Maintain confidentiality of all patient protected health information.
Front Office / Administrative Support:
  • Greet and assist patients upon arrival, ensuring a professional and welcoming experience.
  • Prepare source document charts, copy, file, and maintain study-related records as needed.
  • Answer multi-line phones, schedule patient appointments, make reminder calls, and update patient tracking systems.
  • Instruct patients on completing required paperwork at check-in.
  • Maintain confidentiality of patient and company information at all times.
  • Perform other administrative and office duties as assigned.
Qualifications

Education and Experience:
  • High school diploma or technical degree required.
  • Prior administrative or healthcare office experience preferred.
Required Skills:
  • Basic knowledge of medical terminology.
  • Proficiency with computers, Microsoft Office software, fax, copier, and multi-line telephone systems.
  • Strong verbal, written, and organizational skills.
  • Ability to multitask and work effectively in a fast-paced environment.
  • Team-oriented with a flexible and adaptable approach to changing priorities.
  • Professional communication and customer service skills.
  • Ability to maintain accuracy and attention to detail while ensuring patient confidentiality.
