Archives Specialist A, B or C (Records Management)

The Records Management Section of the Archives Division of the Secretary of State is seeking an Archives Specialist A, B or C to assist state agencies and the records management program with their records management needs. An ideal candidate should possess the following competencies:

Communicating Effectively: The ability to relay information correctly and appropriately to connect people and ideas.

Developing Plans: The ability to prioritize tasks and competing demands to create accurate plans.

Displaying Expertise: The ability to exhibit specialized skills or knowledge gained from experience or training.

Minimum Qualifications:

  • Three years of experience in historical research, archival operations, records management, records preservation, or college-level teaching in a humanities field; OR
  • Six years of full-time work experience in any field; OR
  • A bachelor's degree.

Experience Substitution: Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties and Other Information:

  • Research state and federal laws regarding records management.
  • Meets with state and parish government representatives to assist them in developing and managing their records in an efficient and economical manner.
  • Collaborates with state and parish government agencies in the development of their records retention schedules.
  • Reviews state and parish government agencies' disposal requests to determine if their records have met retention and are eligible for destruction.
  • Presents training to state and parish government agencies on records management practices.

  • Efficient, organized, and a self-starter.
  • Skilled at legal research.
  • Possesses a working knowledge of Louisiana's governmental organizational structures, operations, and functions.
  • Demonstrates a commitment to learning.
