Serves as the General Services Section customer service expert and must be able to respond to a myriad of questions and requests from students, faculty, staff, alumni, and the public. Knowledge of the academic calendar, university regulations, registration processes, rules, dates, office policies, and procedures is of utmost importance. Oversees many registration processes and supports processing division as key performer of tasks related to section changes, retroactive updates, and document management.
Job Responsibilities
Processes high volume of schedule updates for dual enrollment students and processes modality changes for LSU Online students. Supports and processes requests related to registration functions, including manual overrides, advanced standing tests, and retroactive section changes. Utilizes Workday Student to interpret and explain the following: assessment of fees resulting from scheduling of classes, credits posted to students' accounts as a result of schedule changes, and as a result of select fee exemptions and scholarships. (30%)
Answers inquiries concerning all Office of the University Registrar functions. Must educate the public regarding location and interpretation of needed information (e.g., fees, academic calendar, class schedule booklets, student self-service, and Workday Student accounts). Responds to phone inquiries related to confidential academic records, academic calendar, university regulations, Workday Student functionality, and office policies. Assists walk-ins (escalated from student assistants) and is responsible for monitoring/answering the regservices and registrar email accounts. (30%)
Serves as a document authenticator for the University. Using Workday Student, assists with name and student identification number changes. Utilizes Workday Student to obtain academic information and data for completion of loan, health insurance, and good student insurance certifications. Responsible for providing Jury letters for the 19th JDC and federal courts, FBI agents, SNAP Benefit verification, USMC verifications, and international students with legal and Visa forms. Oversees selective service process, including status updates and hold management for students. (15%)
Responsible for assisting with all aspects of OUR imaging of academic source documents and other supporting archival documents using the web-based program Hyland OnBase. The process includes: document preparation, scanning, indexing, quality control, and document retrieval. (15%)
Oversees supervision and training of approximately 5 to 7 student assistants involved in the daily responsibilities required by the general services processing area. (10%)
Additional Requirements
FERPA - As with all LSU employees, due to this position title and/or responsibilities, this position has an obligation to assist students in the acquisition of necessary services. Should a student appear in need of or seek assistance with issues of an emotional, behavioral, or mental health related matter they should be referred to the proper service within the Student Health Center. In situations where the student creates an impression that they are a danger to themselves or others, the advisor should immediately contact the Care Team, the Dean of Students or the appropriate law enforcement agency. The employee outside of those rights contained within FERPA should create no impression of client or patient confidentiality.
