WHAT WE NEED:

Project Expeditor

The Project Expeditor is responsible for overseeing and managing all project expediting functions within the organization. This role supports all projects to ensure all document deliverables, equipment and material are delivered on time and meet all necessary requirements. The Project Expeditor works closely with various departments and stakeholders to ensure smooth project execution and compliance with established procedures and standards.

Responsibilities:

  • Monitor vendor progress to make sure deliveries stay on track and align with purchase orders and project timelines
  • Share regular updates with project teams, flagging any potential delays early and suggesting practical solutions to keep things moving.
  • Stay in touch with suppliers to clarify expectations, ensure they're meeting requirements, and work through issues before they become problems.
  • Review supplier data to track performance and confirm they are meeting deadlines, quality standards, and delivery conditions.
  • Monitor document control processes and systems to identify areas for improvement to enhance efficiency and effectiveness.
  • Work closely with the project teams, like engineering, procurement, and logistics, quickly resolve any issues that could slow things down.
  • Organize and maintain an accurate and up-to-date database or filing system for all project-related documents, ensuring easy access, retrieval, and retrieval for authorized personnel.
  • Keep detailed records of supplier communications, delivery progress, and any steps taken to address risks or delays.
  • Take part in project reviews and meetings, offering updates that help everyone stay aligned and on schedule.
  • Update purchasing and expediting reports and distribute to team members on a regular basis.
  • Conduct regular quality checks to verify the accuracy, completeness, and integrity of project documents, identifying and rectifying any discrepancies or errors.
WHO WE NEED:
  • Bachelor's degree in a relevant field or equivalent work experience.
  • Strong knowledge of document control procedures, standards, and software systems.
  • Familiarity with procurement processes, supply chain management, and expediting techniques.
  • Basic understanding of legal requirements for direct purchase and indirect purchase (as agent for) is required.
  • At least 5+ years in an equivalent position within a project-based or industrial environment.
  • Vendor and source expediting skills are required.
  • Excellent organizational and time management skills with the ability to prioritize and multitask effectively.
  • Attention to detail and a high level of accuracy in document management.
  • Strong communication and interpersonal skills, with the ability to collaborate and coordinate with diverse stakeholders.
  • Proficiency in using document management software, MS Office Suite, and other relevant applications.
