Phelps Dunbar LLP is an AmLaw 200 full-service law firm. The Billing Coordinator performs all duties necessary to accurately and timely produce client invoices in accordance with client billing guidelines and monitors the work in process. The position reports directly to the Firm Billing Manager. The Coordinator is expected to uphold all firm policies and procedures and represent the department with a professional and positive manner with attorneys and administrative staff.

Essential Duties and Responsibilities:

  • Handle appeals for clients, including gathering additional information needed for appeals, submission of appeals and write-offs
  • Responsible for generating pre-bills, processing invoice revisions, finalizing invoices, and electronic submissions
  • Responsible for monitoring aged Work-in-Process and follow up with billing attorneys
  • Communicate client billing guidelines to attorneys and legal staff as needed
  • Assist file intake staff with accurate maintenance of timekeeper rates, task and activity codes, cost exemptions and billing information pertinent to specific clients/matters
  • Other duties as assigned by Manager
Requirements

Education and Experience Required:

The Billing Coordinator is required to have a bachelor's degree or minimum of 2 years' legal billing experience.

Experience in 3E is preferred.

Qualifications and Skills Required:
  • Excellent written and verbal communication skills and must be courteous, professional and a team player
  • Proficiency in Microsoft Office and legal billing software, Elite a plus
  • Strong organizational skills with an ability to multi-task


Performance Measures:

Performance is measured by the coordinator's billing knowledge, assurance that invoices are processed and billed timely, accurately and in accordance with the firm and client's guidelines, proactive in making suggestions and improving processes and ability to meet all deadlines and handle assigned tasks.
