The Office Operations Coordinator for Greek Life reports to the Director and assists in the day-to-day operations of the department. Serving as the first point of contact for the department, the Coordinator supervises the student staff and is responsible for office marketing. The Coordinator also assists with financial transactions for the department and other duties as assigned by leadership in the department.
GENERAL RESPONSIBILITIES FOR THIS POSITION INCLUDE:
- Coordinates the day-to-day operations and customer service of Greek Life including roster management, Greek Fee additions and removals, Greek Excellence paperwork submissions, and office forms.
- Manages student staff including training, scheduling, hiring, and assigning tasks.
- Assists departmental leadership with project management.
- Works collaboratively across campus and community partners to support students.
- Oversees website management and online resources for Greek Life.

ABOUT THE DIVISION OF STUDENT AFFAIRS PRIORITIES:Three priorities guide our work in the Division of Student Affairs. Foremost, we maintain a
commitment to quality which is rooted in the belief that LSU students deserve our best effort. Every interaction we have with students should communicate care, relevance, polish, and attention to detail. We work to ensure every space, place, and staff-to-student interaction
communicates a sense of home to students. Finally, we design programs, services, events, and experiences with
everyone in mind.
RESPONSIBILITIES:Office Management (50%): Coordinates all office operations as well as primary contact for the office; Serves in a key coordination and communication role in the distribution of information to constituents; Develops and maintains Greek Life calendars; Assists in the hiring of employees for Greek Life; Manages, trains and supervises student workers and designs work schedules to ensure daily coverage of the office during university hours; Participates in departmental trainings, special events, and other programs and events providing support prior to and during events; Advances the goals of the Offices of Greek Life, Student Affairs and the University. Performs all accounting transactions, including processing LaCarte entries and preparation of purchase requisitions, travel reimbursements, and deposit transmittals; assesses the Greek Life charge to participating members and processes refunds. Tracks expenditures and reconciles monthly budgets for completeness and accuracy. In Workday, processes student employee appointments. Oversees daily operations of the office, including communication, property control, machine maintenance and supply orders.
Data Collection and Dissemination (20%): Responsible for the collection, management and documentation of all compliance/required forms and submissions including but not limited to: roster management, Greek Accreditation submissions, Greek fee addition and removal, meal plans, parking and housing rosters, etc. Will create and distribute President's Newsletter biweekly and Community Newsletter monthly.
Marketing and Website Management (20%): Maintain, update, monitor, populate, manage and ensure the Greek Life website is accurate and compliant with ADA requirements. Work closely with the Office of Strategic Communications to stay in compliance with University requirements. Responsible for the design, guidance, accuracy, production and distribution of all Greek Life marketing and social media. Works Collaboratively with the Office of Communication and University Relations and adheres to the standards set therein.
Quality Control (5%): Ensures every aspect of work product including administrative tasks, implementation, and every communication on behalf of the Division of Student Affairs exudes a high degree of quality. Embraces and executes the marginal gains approach and seeks to increase level of all services, events, programs, and experiences in department for continuous improvement every academic year.
Others Duties As Assigned (5%): Other duties as assigned by the Director of Greek Life. This includes but is not limited to: efforts that support broad division/institution efforts including at least 40 hours per year spent helping divisional initiatives such as Move-in Day, Welcome Week, Family Weekend, Career Expo, Disability Services Finals Testing, other special projects, etc.
MINIMUM QUALIFICATIONS:- Bachelor's Degree from an accredited institution of higher education.

SPECIAL REQUIREMENTS/EXPECTATIONS:Ability and willingness to work some evening and weekend hours.
This position may be asked to work during an official closure, but who is otherwise not required to report to the physical campus during a closure and whose absence does not present a risk to the safety, resources, and well-being of the campus per FASOP HR-01.
Due to the Nature of the position and/or responsibilities, in times of emergencies and/or University closures, this position is considered essential. It may be required to assist the Office of Communications and University Relations on Necessary Communications Matters in times of crisis, including potentially working in LSU's Emergency Operations Center during those times.
As with all LSU employees, due to this position title and/or responsibilities, this position has an obligation to assist students in the acquisition of necessary services. Should a student appear in need of or seek assistance with issues of an emotional, behavioral, or mental health related matter they should be referred to the proper service within the Student Health Center. In situations where the student creates an impression that they are a danger to themselves or others, the advisor should immediately contact the Care Team, the Dean of Students, or the appropriate law enforcement agency. The employee outside of those rights contained within FERPA should create no impression of client or patient confidentiality.
